    JOB SUMMARY:


    The Executive Assistant provides executive level support in a one-on-one working relationship with an Executive Officer of the organization such as the President, Chief Operating Officer, Chief Administration or Information Officer, Chief Financial Officer.    The Executive Assistant must be able to use independent judgement and discretion for research and resolution.  Represent the office of the Executive and Bank in a professional and courteous manner at all times.

     

    RESPONSIBILITIES:

     

    •Serve as a liaison to the Board of Directors and Executive exhibiting a professional, discreet and confidential demeanor
    •Provide board members assistance while maintaining compliance with applicable practices, regulations and bylaws regarding board matters
    •Organize and coordinate executive outreach and external relations efforts and oversee special projects
    •Work independently on projects from conception to completion
    •Complete a broad variety of administrative tasks for the Executive including managing active calendar, travel arrangements, expense reports, confidential matters, preparing and compiling documents for meeting and presentations
    •Communicates directly and on behalf of the Executive with Board members, staff, external business associates on initiatives
    •Researches, prioritizes and follows up on issues and concerns addressed to the Executive including those of sensitive and confidential nature
    •Manages the coordination events and meetings by establishing objectives, determining priorities, managing timeline, monitoring progress and problem-solving and making adjustment as needed in order to deliver a successful outcome
    •Provides a positive communication relationship between the Executive’s office and internal departments, demonstrates leadership to maintain creditability, trust and support
    •Successfully completes critical aspects of deliverable with a hands-on approach
    •Prioritizes and handles matters expeditiously, proactively and follows-through on projects to successful completion and often within tight deadlines
    •Responsible for the analysis of the budget and evaluation of variances
    •May conduct details pertaining to the Executive’s personal affairs
    •May participate in confidential meetings and be responsible for note taking

     

    Qualifications

    SKILLS/QUALIFICATIONS:

     

    •High school diploma or equivalent required, Bachelor’s degree a plus
    •Minimum of five (5) years of prior experience in supporting Executive Management Required
    •Proficiency in Microsoft Office Products required
    •Excellent verbal and written communication skills
    •Demonstrated ability to maintain confidentiality in all aspects of staff, clients, and board members information as well as exercise good judgement and discretion
    •Excellent customer service skills
    •Demonstrated ability to take initiative and work independently
    •Excellent organizational and time management skills that allow for performing and prioritizing multiple tasks seamlessly with excellent attention to detail
    •Ability to be a resourceful and effective team player

    ESSENTIAL FUNCTIONS:

     

    •Sitting/standing for extended periods of time.

    •Ability to observe, perceive, identify, and translate data
